Privacy Policy

Fanthem (“Fanthem,” “we,” “us”) helps artists and creators turn in-person moments — a QR scan, a text, a sign-up form — into a list of fans they can stay in touch with. This policy explains what information we collect when you join an artist’s list through Fanthem, and when you contact Fanthem directly, how we use it, and the choices you have. It applies to fanthem.fm, the sign-up pages we host for artists, and our contact form.
Who controls your data
When you join an artist’s list, that artist is the primary party deciding how to contact you, and Fanthem provides the tools that store and deliver those messages on their behalf. We keep each artist’s fans separate and do not sell or rent your information to anyone.
When you write to us through our contact form, Fanthem is the controller of that message. It is kept separate from any artist’s fan list, is not shared with artists, and does not subscribe you to anything.
What we collect
- Contact details you give us — such as your name, email address, and (where you message an artist) your phone number.
- Sign-up context — which artist you joined, the date and time, and whether you opted in or later opted out.
- Messages you send — if you reach an artist over SMS or WhatsApp, we process the content and sender details to record and route the conversation.
- Messages you send us directly — if you use our contact form, we collect the first name, email address, and message you provide, along with the date and time, so we can read and reply to your enquiry.
- Basic technical data — standard request information (such as IP address and browser type) used to operate the service and reduce spam and abuse.
Cookies and similar technologies
Fanthem uses only the cookies and similar technologies needed to operate the service securely — for example, to keep sessions working and to help prevent spam and abuse on sign-up forms. We don’t use advertising or cross-site tracking cookies on our sign-up pages. You can control cookies through your browser settings, though blocking essential ones may affect how the forms work.
How we use it
- To add you to the list of the artist you chose and send you their updates.
- To deliver and route messages between you and the artist.
- To honor your opt-out and keep you off lists you’ve left.
- To read, respond to, and keep a record of enquiries you send us through our contact form. We do not use a contact-form message to add you to any mailing list or to market to you.
- To secure the service, prevent abuse, and meet legal obligations.
Legal bases for processing
If you’re in the EEA or UK, we rely on the following legal bases under the GDPR: your consent (when you join a list or message an artist); our legitimate interests in operating, securing, and improving the service and preventing abuse; and legal obligation where the law requires us to retain or disclose information. You can withdraw consent at any time by unsubscribing or asking us to delete your data.
Messaging and consent
You receive messages from an artist only because you opted in — by submitting a sign-up form or by messaging them first. Every email includes an unsubscribe option, and you can reply STOP to text messages to opt out. Opt-outs are sticky: once you leave a list, we keep you off it unless you ask to rejoin.
Who we share it with
We share data only as needed to run the service: with the artist whose list you joined, and with infrastructure providers who process data on our behalf under contract — for example our hosting and database provider (Supabase), email delivery, and messaging providers (such as Twilio and Meta/WhatsApp). We may also disclose information if required by law. We do not sell your personal information.
Contact-form messages are not shared with artists. They are stored with our database provider and forwarded to us by our email delivery provider (Resend) so we can reply.
International data transfers
Fanthem and our infrastructure providers operate in the United States, so if you’re located elsewhere your information will be transferred to and processed in the U.S. and other countries where we or our providers operate. These countries may have different data-protection laws than your own. Where required, we rely on appropriate safeguards (such as standard contractual clauses) for these transfers.
How we protect your information
We use reasonable technical and organizational measures to protect your information — including encryption in transit, access controls, and keeping secret keys server-side and out of public code. No method of transmission or storage is perfectly secure, so we can’t guarantee absolute security, but we work to safeguard your data and to notify you of significant incidents where required by law.
Business transfers
If Fanthem is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. We will continue to protect it under this policy, and we’ll notify you (for example, on this page) of any change in who controls your data.
How long we keep it
We keep your information for as long as you remain on an artist’s list and as needed to operate the service. When you unsubscribe, we retain the minimum record required to honor that opt-out. You can request deletion at any time — see our data deletion page.
Messages sent through our contact form are kept for up to 24 months from the date we receive them, so we can refer back to earlier correspondence, and are then deleted. You can ask us to delete your message sooner at any time.
Your choices
- Unsubscribe from any email, or reply STOP to text messages.
- Request a copy of, correction to, or deletion of your data.
- Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA. We honor those requests.
Third-party links and services
Sign-up pages may link to outside sites — for example, an artist’s streaming or “listen” link. Those sites are run by others and have their own privacy practices; this policy doesn’t cover them. We encourage you to review the privacy policy of any site you visit through one of our links.
Children
Fanthem is not directed to children under 13, and we do not knowingly collect their information.
Changes to this policy
We may update this policy from time to time. When we do, we’ll revise the “last updated” date above, and material changes will be reflected on this page.
